Site Visits: They’re Essential For All Weddings
January 25, 2024Wedding Day Management: Do I Need It?
One of the biggest differences here in comparison to planning weddings in California, is that a Wedding Planner is as expected in a California wedding as much as the photographer and caterer are. The mindset is - if you are spending tens of thousands on something, it has to be right! What else do you pay £30,000+ for, that doesn’t involve a professional guiding you through that process?
Traditional weddings in the UK and Ireland used to be ‘one size fits all’, where you book the venue and have the same layout, linens, meal etc as the past 100 weddings they had that year. Now weddings have become more custom and personal to a couple, which means you are more excited walking into a ceremony and reception with anticipation to what this couple have arranged. Each venue layout is custom, each tablescape represents the couples style, each supplier is handpicked and met prior to the wedding day, every course of the meal has been tasted and compared etc. Weddings are much more enjoyable now as couples bring far more entertainment, personality and fun to their wedding day!
Whilst all these extras and moving parts are exciting - they are also quite stressful to manage for the couple who have never organised an event this size, and this personal before. That’s where a Wedding Planner comes in.
Wedding Management is the package for couples who were happy to take the time to source venues, suppliers, create their designs, attend all site visits and supplier meetings, and keep up with all correspondence throughout the planning process. Then have their Wedding Planner come in 3 months from their wedding date to review and streamline the whole event.
Some of these items include:
Taking over all venue contact, suppliers' contact and wedding website contact from three months onwards. I reach out to each supplier, introduce myself, review contracts, review payments and confirm all details to make sure they have everything they need
Any questions from suppliers or guests on your wedding website three months onwards - go to me. This means any questions you need to answer can be collectively in one email from me, rather than 20 separate emails/texts/calls each week to deal with (usually they are logistic questions that I can answer anyway). I will also review your current wedding website and add any missing info usually needed and update/create your FAQ page.
I review all your planning - make sure you haven't missed anything, and give you any final suggestions to complete your day. We go over your vision and I ensure your styling and design at the ceremony and venue is exactly how you want it.
I put together a budget spreadsheet with all suppliers' contact details, dates of final payments and ensure you have them all completed in time.
Venue liaison - I will do a venue site visit and run through the plans and layout with the venue manager. I will put together your seating plan and a master timeline of the day events. Venue managers are fantastic, but they are there to represent and look after their venue, I am there to represent and look after my couple and their guests. Therefore, I ensure everything you have discussed and agreed, is carried out perfectly.
Guest list spreadsheet - we have everyone listed that is invited to full day and evening. Updating with all RSVPs and dietary requirements, and the answers to any fun questions you asked on their invite - a song they want to hear from the DJ etc
Final Week meeting - we meet in person to go through everything a week before! Go through our list of items for Rehearsal, Day Of and Day Two. And what day/where from I collect personal items/decor and return after.
Attend, coordinate and assist your Wedding Rehearsal.
Attend. coordinate and assist your Wedding Day.
The aim is to allow you and your family to be fully present and enjoy your final few months of engagement, and ensure your week of celebrations is taken care of..
PSA to all couples - you are not the hosts - you are the Guests of Honour!
